LOGIS HOTELS GROUP" PRIVACY AND CONFIDENTIALITY CHARTER

  1. PREAMBLE

The Logis Hôtels Group comprises 2,200 independent restaurant-hotels in Europe.

The Logis Hôtels Group provides its customers (individuals and professionals) with specific services (website, loyalty programme, newsletters, etc.) and in particular an online reservations centre on the www.logishotels.com website and via the mobile application available on IOS and Android. This centre is managed by Logis International Services (LIS), a subsidiary of Groupe Logis Hôtels (GLH).

In this context, the entities GLH and LIS (Groupe Logis Hôtels) wished to draw up this Charter in accordance with the provisions of the General Data Protection Regulation (EU Regulation 2016/79) in force since 25 May 2018 and the amended Data Protection Act.

The purpose of this Charter is to specify the Logis Hôtels Group's customer personal data protection policy and forms an integral part of the general terms and conditions governing the Group's services. Therefore, by accepting our general terms and conditions, you expressly agree to the provisions of this Charter.

LOGIS HOTELS GROUP'S COMMITMENT TO PRIVACY PROTECTION

We value your privacy.

By using the services of the Logis Hotels Group, you place your trust in us – and we are committed to safeguarding that trust. We do everything possible to protect and secure any personal data you share with us. We act in the best interest of our customers.

This document clearly and transparently explains how we collect, use, and process your personal data, so you can understand our approach easily.

It also tells you how to contact us if you have any questions about your data – and we would be happy to assist.

By “personal data”, we mean any information that allows us to identify a customer, directly or indirectly.

This may include identifying data (name, surname, address, email, date of birth, etc.) as well as information used to create customer profiles (such as hobbies), enabling us to send you personalised offers.

The Logis Hotels Group is committed to upholding six fundamental principles as set out in the European Regulation (GDPR), which form the foundation of our personal data processing practices:

  1. Transparency: When we collect and process your personal data, we will inform you of the purposes and recipients of that data.

  2. Data Minimisation: Personal data must be adequate, relevant and limited to what is necessary in relation to the purposes for which it is processed.

  3. Lawfulness: We will collect and process your personal data only for the purposes described in this Privacy Charter.

  4. Accuracy: We collect only the personal data necessary for processing and take all reasonable measures to ensure the data we retain is accurate and up to date.

  5. Storage Limitation: We retain your personal data for only as long as is necessary for processing purposes and in accordance with legal requirements.

  6. Access, Rectification, Objection, Restriction, Erasure, Portability, Consent: You have the right to withdraw your consent, object to data processing, restrict it, or access, amend, correct or delete your data. These rights are explained in section 8, "Exercising Your Rights".


WHAT IS YOUR DATA USED FOR?

Logis Hotels Group only collects and processes your data for specific and necessary purposes, including:

  1. Customer relationship management (including bookings via logishotels.com and handling any post-stay complaints);

  2. Business relationship management (newsletters, competitions, promotions, surveys, advertising, etc.);

  3. Management of the “ETIK” loyalty programme;

  4. Compilation of visitor statistics across Logis Hotels Group properties;

  5. Service improvement through satisfaction surveys and customer reviews;

  6. Handling requests to exercise your data protection rights.

Processing relating to bookings is necessary for contract performance.

Other commercial uses are based on legitimate interests, such as improving our services, offering promotions, or responding to enquiries.

Some processing requires your explicit consent, such as entering your email address to subscribe to a newsletter or requesting commercial information.


WHAT DATA IS COLLECTED?

We collect and use the personal data we need to offer you high-quality and personalised products and services.

This may include:

  • Contact details (e.g. name, surname, phone number, email);

  • Personal information (e.g. day and month of birth – optional, nationality – for communication in your language);

  • Information about children (e.g. age);

  • Credit card number (used strictly for transactions and bookings);

  • Your preferences and interests (to tailor offers to your profile);

  • Feedback and comments following your stay.

We also collect data from the device you use to access our services (computer, phone, tablet, etc.). For more information, see section 9, “Cookie Policy”.

We do not wish to collect sensitive data. Please refrain from sending any such information (e.g. health data, racial/ethnic origin, political or religious beliefs, trade union membership, sexual orientation, etc.).


WHEN IS YOUR PERSONAL DATA COLLECTED?

Personal data may be collected in various ways, including online tools and direct communication (letters, emails), in particular:

  1. When booking stays via logishotels.com or Logis Hotels apps:

    • Room reservations;

    • Requests, complaints, and disputes after stays.

  2. When participating in marketing programmes or promotions:

    • Registration in the “ETIK” loyalty database;

    • Satisfaction surveys;

    • Competitions;

    • Newsletter subscriptions.

  3. Technical information:

    • IP address;

    • Browser and operating system details;

    • Cookies (see section 9).


HOW LONG IS YOUR DATA RETAINED?

Your data is only retained for as long as strictly necessary:

  • For order fulfilment;

  • For legal and regulatory compliance (e.g. dispute resolution);

  • For delivering personalised services.

General data retention policy:

  • Identification data: 3 years from your last visit or contact;

  • Order data: 3 years from order date;

  • Bank details (if a reservation is made): sent to the hotel and stored in the PCI system for 7 days after check-out;

  • Marketing prospects: 3 years from the last sign of interest (e.g. link click in a newsletter);

  • Cookies: maximum 13 months (see section 9).


HOW IS YOUR DATA PROTECTED?

We implement technical and organisational security measures in line with legal requirements to protect your data against unlawful or accidental destruction, loss, alteration, unauthorised access or disclosure.

These include:

  • Technical tools (e.g. firewalls);

  • Organisational tools (e.g. passwords, physical access controls);

  • SSL encryption for credit card transactions;

  • PCI systems for handling payment data.

DATA BREACHES:
If a personal data breach occurs, we will notify the CNIL as required under the GDPR.

If the breach poses a high risk to affected individuals and the data was not protected:

  • We will inform the affected individuals without undue delay;

  • We will provide relevant information and recommendations.


DATA TRANSFERS

We do not transfer your data to third parties unless:

  1. It is required to provide the services you have booked:

    • Partner hotels listed on logishotels.com (for quality monitoring);

    • Partners (e.g. cancellation insurance, gift cards).

  2. It is needed for outsourcing:

    • Website operation and IT services;

    • Marketing services (newsletters, feedback collection).

In all cases, we ensure that we only work with trusted partners and secure our contracts with them.

International Transfers Outside the EU:
We avoid transferring data outside the EU, except in specific cases such as:

  • Microsoft Office 365 (office tools);

  • Salesforce Cloud Marketing (newsletter service);

  • Google tools (analytics, advertising, website optimisation).


8. EXERCISING YOUR RIGHTS

In accordance with French law (“Informatique et Libertés” of 6 January 1978, amended) and the European GDPR (Regulation 2016/679), you have the following rights:

  • Access to your data;

  • Rectification;

  • Objection to processing;

  • Withdrawal of consent;

  • Restriction of processing;

  • Data portability;

  • Erasure of your data (where applicable under the law).

You may also define instructions for what happens to your data after your death (Art. 85 of the French law).

In accordance with Article L.223-2 of the French Consumer Code, you can opt out of unsolicited commercial calls by registering with www.bloctel.gouv.fr.


9. COOKIE POLICY

A cookie is a small text file placed on your device (computer, phone, tablet, etc.) when you visit a website. It helps us recognise your device on future visits.

Essential Cookies:
These are always active. They ensure the proper functioning of our apps and services (e.g. login, booking, cookie preferences, secure connections).

Analytics Cookies:
These cookies collect information about how you use our apps (e.g. number of visits), helping us improve functionality and measure communication effectiveness.

Managing your cookies:
You can manage your preferences at any time via My Account > Settings > Privacy Settings > Cookie Settings in our mobile apps.
